You can use Microsoft Office Project 2007 groups (group: To combine or rearrange tasks or resources in a project according to specific criteria, for example, task duration, priority, resource overallocation, or finish date; do not confuse this with the Group field, which is a resource field.) to categorize and report project information in a variety of ways. Grouping also allows you to view rolled-up (roll up: On the Gantt Chart, to display symbols on a summary task bar that represent subtask dates. You can roll up dates from subtasks to make important dates easily visible on a summary task bar.)summary information of tasks (task: An activity that has a beginning and an end. Project plans are made up of tasks.), resources (resources: The people, equipment, and material that are used to complete tasks in a project.), or assignments (assignment: A specific resource that is assigned to a particular task.) in sheet (sheet: A spreadsheet-like representation [in rows and columns] of task or resource information. Each row specifies an individual task or resource. Each column [field] specifies a type of information, such as start dates or standard rates.) views.

Group tasks or resources by one criterion

  1. On the View menu, click the view you want. To use a view that is not on the View menu, click More Views, click the view you want to use in the Views list, and then click Apply.
    • To group tasks, select a sheet view such as the Gantt Chart, Task Sheet, or Task Usage view. You can also group tasks in the Network Diagram view.
    • To group resources, select a sheet view such as the Resource Sheet or Resource Usage view.
  2. In the Group By box Button imageon the toolbar, click the group you want.
  3. To return the view to its ungrouped state, in the Group By box, click No Group.


Group tasks or resources by multiple criteria

  1. On the View menu, click the view you want. To use a view that is not on the View menu, click More Views, click the view you want to use in the Views list, and then click Apply.
    • To group tasks, select a sheet view such as the Gantt Chart, Task Sheet, or Task Usage view. You can also group tasks in the Network Diagram view.
    • To group resources, select a sheet view such as the Resource Sheet or Resource Usage view.
  2. On the Project menu, point to Group by, and then click More Groups.
  3. Do one of the following:
    • Under Groups, click Task or Resource, select a grouping criterion, and then click Edit.
    • Under Groups, click Task or Resource, and then click New to create a new group.
  4. In the Group By row, in the Field Name column, click one of the fields you want to use to group tasks or resources.
  5. In the Then By row (below the Group By row), in the Field Name column, click an additional field you want to use to group tasks or resources.
  6. In the Order column, click Ascending or Descending for each field.
  7. To select formatting options for each field, click the Field Name column in the Group By or Then By row, and then, under Group by setting for, click the options you want in the Font, Cell background, and Pattern boxes.
  8. Add more levels of grouping by completing additional Then By rows.
  9. Click OK, and then click Apply.
  10. To return the view to its ungrouped state, in the Group By box Button imageon the toolbar, click No Group.

Group assignments

  1. On the View menu, click the view you want. To use a view that is not on the View menu, click More Views, click the view you want to use in the Views list, and then click Apply. To group assignments, select the Task Usage or Resource Usage view.
  2. On the Project menu, point to Group by, and then click More Groups.
  3. Under Groups, click Task or Resource, select a grouping criterion, and then click Edit.
  4. Select the Group assignments, not tasks or Group assignments, not resources check box.
  5. Click OK, and then click Apply.
  6. To return the view to its ungrouped state, in the Group By box Button imageon the toolbar, click No Group.
