SkyDrive Mobile DeviceIf you need to access your files on the go, SkyDrive offers a wide range of mobile apps, including iOS, Android, and Windows Phone. While the mobile apps will allow you to view and upload files, you will not be able to edit or create new documents.

Accessing SkyDrive from Another Mobile Device

If you prefer not to download the SkyDrive app, or if you just want to open a file quickly, you can access SkyDrive using a mobile web browser.
The images below were taken on an iPhone. However, you can access SkyDrive from any device with an internet connection.

To Access SkyDrive with a Mobile Device:

  1. Open your mobile device's web browser.
  2. Navigate to skydrive.com.

  3. Enter your Microsoft account username and password.
  4. Press Sign in.

  5. Your SkyDrive documents list will appear. You can now access and view your files and folders as normal.

SkyDrive Working with Office Web Apps

Office Web Apps are similar to the applications in the desktop Microsoft Office suite, but they aren't identical. Web Apps simply have fewer features. If you already know how to use Microsoft Office, you should find the Web Apps fairly easy to work with.
In this lesson, you'll learn more about using the WordExcel, and PowerPoint Web Apps.

Working with Web Apps

Office Web Apps include useful tools for creating basic Office documents. However, Web Apps lack advanced document formatting tools, which can make it hard to create polished and professional-looking documents. One way to avoid this problem is to create documents in Web Apps, then “polish” them as needed in the regular Office programs.

Opening and Editing Documents

When you open a document in SkyDrive, a preview of the document will appear. Click Edit Document and then select Edit in Web App from the drop-down menu to begin editing with Web Apps.

The Word Web App

The Word Web App is the online version of Microsoft Word. You can use the Word Web App to create text documents, including lettersresumesflyers, and more.
If you’re unfamiliar with Microsoft Word, review our Word 2010 tutorial to learn how to create and format documents.

Tool Limitations

The Word Web App doesn't include many tools that let you edit and format your documents in Word 2010, so  you won’t be able to use the Word Web App to heavily customize the appearance of your documents. In addition, the Web App lacks many advanced features, including:
  • Track changes and other review tools
  • Headers and footers
  • SmartArt

The Excel Web App

The Excel Web App is the online version of Microsoft Excel. Like the desktop version of Excel, the Excel Web App allows you to use spreadsheets, or worksheets, to store and analyze data in organized workbooks.
If you’re unfamiliar with using Microsoft Excel, review our Excel 2010 tutorial to learn how to create and use workbooks.

Tool Limitations

The Excel Web App contains many of the most useful Excel features. For example, you can perform calculations with formulas. You can even organize your data into tables and charts, though you won't be able to customize their appearance very much.
Most of Excel's advanced tools are not included in the Web App. For instance, you won't be able to create pivot tables, do advanced data analysis, or customize the page layout.

The PowerPoint Web App

The PowerPoint Web App is the online version of Microsoft PowerPoint. You can use the PowerPoint Web App to create slideshow presentations that include text, images, and SmartArt graphics.

Tool Limitations

While it still lacks many of tools found in the desktop version, the PowerPoint Web App has fewer limitations than the Excel and Word Web Apps. You can easily insert picturesSmartArtanimations, and transitions.
The PowerPoint Web App does not include many tools for customizing the appearance of presentation slides. While it is possible to create professional presentations with the PowerPoint Web App, you won't have as much control over the way those presentations look as you would in the desktop version.

SkyDrive Upload, Sync and Manage Files

One of the most useful things about SkyDrive is that you have plenty of space tostore all types of files. You can upload photos, videos, and more from your computer. Then, you'll be able to access those files from anywhere with an internet connection.
In this lesson, you will learn how to upload and sync files from your computer to SkyDrive. You'll also learn how to move files from one folder to another. Finally, you'll learn about additional file options, including special options for managing photos.

SkyDrive isn't just for storing Web Apps documents. You can alsoupload other files, like photosvideosmusic, and more. In total, SkyDrive gives you 7 GB of space to store files of all types. You can upload any file up to 300 MB in size.

The SkyDrive desktop application makes it easy to upload and sync files across all of your devices—check out our lesson on Getting Started with SkyDrive to learn how to install the app (if you haven't already). The SkyDrive desktop application works like any other folder on your computer. But whenever you move a file to the SkyDrive folder, that file is moved online to the cloud, allowing you to access the same version of that file from any computer connected to the internet.

To Upload Files:

  1. Locate the file on your computer that you wish to upload to your SkyDrive.
  2. Click, hold and drag the file to the SkyDrive folder.

  3. The file will appear on your SkyDrive. Now you can access the file from anywhere by signing in to your SkyDrive.

To Upload Folders:

Uploading individual files can start to become very time consuming. Fortunately, you can also move entire foldersto SkyDrive. Whenever you upload a folder, the folder and every file stored within it will be uploaded to your SkyDrive.
  1. Locate the folder you wish to upload to your SkyDrive.
  2. Click, hold and drag the folder to the SkyDrive folder.

  3. The folder and its files will appear on your SkyDrive.

To Open a File:

Whenever you want to view a file in your SkyDrive, you can open it directly from your SkyDrive folder. Simply double-click a file to open it.

If you have Microsoft Office installed on your computer, any Office files (like .docx.xlsx, or .pptx files) will open in the desktop Office application. When you close the file, your document will be saved and synced to SkyDrive, allowing you to access the most current version of the file from anywhere.

Uploading Files on the Web

If you don't have the SkyDrive desktop application, you can upload files using the web uploader. The process is a little more complicated than uploading files with the SkyDrive folder, but it's still an easy way to upload files from anywhere.

To Upload Files to SkyDrive on the Web:

  1. Navigate to SkyDrive. Locate and select the Upload button.

  2. Locate and select the desired file. You can select multiple files by holding down the Ctrl key.
  3. Click Open.

  4. Your files will be uploaded to SkyDrive. (This may take a few moments.)
You can also upload files by dragging and dropping them from your computer into SkyDrive, though this method may not work if you are using an older internet browser.

Managing Files

After you've been using SkyDrive for a while, you might find yourself having a hard time keeping track of all your files. Fortunately, SkyDrive offers a number of features to help you manage andorganize your files.

Sorting Your Files

When you navigate to the SkyDrive main page, you'll see all of your files and folders You can choose which files to view by selecting various options in the left navigation pane.

You can also change how your files are displayed by clicking the Thumbnails view and Details view icons.
  • Thumbnails view lets you view your files in a grid of icons. This is the default view for your files and folders.
  • Details view lists your files with their names and other information, which may feel more familiar if you're used to working with files on a desktop computer.

Searching for Documents

You can find documents by using the Search feature. Searching lets you look for a specific document using words contained within the document and its title.
  • To search for a file, click the search bar. Type the word or words you wish to search for, then press Enter. Your search results will appear.

Working with Folders

You can use folders to organize your files. Documents can be stored in folders and moved from one folder to another. Moving documents can be very useful, as you can share a document simply by moving it to a shared folder. For example, if you're working on a project with a group of people, you could share a folder with them. Then, you could move any files you wanted to share with the group to that folder.

To Move a File to a Folder:

  1. Hover the mouse above a file and then click the checkbox in the upper-right corner. You can select multiplefiles by clicking additional checkboxes.

  2. Locate and click the Manage button and then select Move to from the drop-down menu.

  3. A dialog box will appear. Select the folder where you wish to move the file, then click Move.

  4. Your file will be moved. If you moved your file to a shared folder, your file will be shared, as well.
 If you have installed the SkyDrive desktop application, you can also manage your files using the SkyDrive folder on your computer. If you have more experience organizing files on your computer, you may prefer this method over organizing your files online.

SkyDrive Create and Share Office Documents

Whether you're working at home or the office, SkyDrive makes it easy to createnew documents and share your files. You can even collaborate on a document with others. 
In this lesson, you'll learn how to create documents and folders. We'll also talk about how to share your files with different groups of people and the various collaboration tools available in Office Web Apps


Creating Office Documents and Folders

To Create a New Office Document:

Office Web Apps allow you to create four types of documents. You can create:
  • Word documents 
  • Excel workbooks 
  • PowerPoint presentations 
  • OneNote notebooks 
In this example, we will create a Word document.
  1. Click the Create button and then select the type of document you wish to create from the drop-down menu.

  2. The new document dialog box will appear. Enter a name for your new document, then click Create.

  3. Your document will be created and opened.

To Create a New Folder:

  1. Click the Create button and then select Folder from the drop-down menu.

  2. Enter a name for the new folder, then press Enter on your keyboard.

  3. Your folder will be created.
  4. Click the folder to open it. The folder will be empty.

  5. You can create new documents inside the folder following the same steps as above. Just click the Create button and then select the type of document you wish to create.

    Opening Documents

    You can open and edit your documents in your web browser with Web Apps. If you have Microsoft Office installedon your computer, you can also open and edit them with the desktop Office programs. While editing your documents with Web Apps is very convenient, the Web Apps have fewer features and editing tools than the desktop Office programs.

    To Open a Office Document with Web Apps:

    1. Locate and click the name of the document you wish to open. In this example, we'll open and edit aPowerPoint file.

    2. A preview of your document will open. In the top toolbar, click Edit Presentation and then select Edit in Web App from the drop-down menu.

    3. Your document will be opened. You can now edit it with Web Apps.

    To close the document and return to SkyDrive, click the SkyDrive link at the top of the page.

    To Open a Web Apps Document with a Desktop Office Program:

    1. Locate and click the name of the document you wish to open.
    2. A preview of your document will open. In the top toolbar, click Edit Presentation and then select Edit inPowerPoint.

    3. Depending on your browser and security settings, you may see a security warning asking you to confirm that you want to open the file. Click OK.

    4. A dialog box will appear. Enter your Microsoft account name and password, then click OK.

    5. Your document will open in its desktop Office program. To begin editing it, click Enable Editing in the yellow toolbar at the top.

    When you're ready to return to SkyDrive and Web Apps, simply save the document within the desktop program, then close the program. The changes you made will be applied in SkyDrive, as well.

    We were not able to open a document in the desktop Office programs from SkyDrive using Google Chrome. You may want to try using a different internet browser if you experience this problem.

    Introduction to Sharing

    When you use SkyDrive to share a document with someone, you're actually giving them access to the exact same file you're working on. This lets you and the people you share with edit the same document without having to keep track of multiple versions.
    There are two ways to share in SkyDrive. You can share:
    • Individual files
    • Entire folders and all of the files they contain
    When you share a document or folder in SkyDrive, you can either email a link to the people you specify, post it directly to sites like Facebook or LinkedIn, or get a link that you can use however you want. Unless you're sharing a document that needs to be visible to many people, or perhaps the public—like a flyer or an advertisement—we recommend using the first option.

    To Share a File or Folder:

    1. Hover the mouse over the file or folder you wish to share, then click the checkbox that appears.

    2. Click the details pane button  in the top-right corner of the screen to open the Details pane (if not already active).
    3. The details pane will appear on the right side of the screen. Locate the Sharing group, then click Share.

    4. A pop-up window will open.
    5. Select one of the methods on the left. Your options are:
      • Send email to send a link to the people you specify
      • Post to  Facebook, Twitter, or LinkedIn icons  to share your document on Facebook, Twitter, or LinkedIn
      • Get a link to obtain a link that you can use however you want (for example, you can post it on your blog, or email it to a large group)
      In this example, we will choose Send email, because it gives you the most control over who has access to your shared files.

    6. Enter the names of the people you want to share with. If they're in your contacts list, you'll be able to select them when you start typing. (You can even share with people who don't use SkyDrive, but they won't be able to edit the document; they'll only be able to view it.)

    7. Include a personal message if you want.
    8. Optional: Customize the recipient options.
      • By default, the people you add will be able to edit your document as long as they have a Microsoft account. If desired, you can limit your sharing so that people will only be able to view the document. Simply uncheck the box next to Recipients can edit.
      • You can also require users to sign in before they can access the file. This provides an extra level of protection in case the link gets forwarded to someone you don't know. But be careful: if you have any friends who don't use SkyDrive, this will prevent them from opening the file.
    9. When you're ready, click Share.

    10. Your file or folder will be shared.
    To edit the permissions of a shared file or folder, go back to the details pane, and use the controls in theSharing group.

    Remember, when you share a folder, all the documents in that folder will be shared. You cannot set individual sharing settings for documents within a folder.

    Sharing Tools

    Once you've shared a document with someone, they'll be able to access it at any time. If you gave them permission, they'll also be able to edit it with Web Apps. In fact, multiple people can edit the same shared document at the same time.
    As other people make changes to a document you have open, you'll be able to see the location of their cursor, though you won't be able to see their edits until they save their changes. These changes will be applied to all versions of the document.
    Note: This aspect of sharing can be temperamental. When you're editing at the same time as other people, the changes they make might not appear immediately. You may have to refresh and reopen the document to see the most recent edits.

    You can communicate about shared documents by adding document comments. When you comment on a document that you've shared with other people, those people will be able to see and respond to your comment.
    • To add a document comment, go to the main SkyDrive page and open the document's details pane. Type your comment in the Comments section at the bottom.
